These Terms of Service ("Terms") govern your access to and use of Canada's Finest's Community Management System ("CMS"), our Discord server, and related services (together, the "Services"). By creating an account, submitting an application, or otherwise using the Services, you agree to these Terms and to our Privacy Policy.
You must be at least 13 years old to create an account at all, matching Discord's own minimum age requirement for any Discord-linked feature. Actual membership in the community — being accepted onto a department roster — additionally requires you to be at least 17 years old; an account between 13 and 16 can exist (for example, while an application is pending) but won't be onboarded to a roster until that age is met. We may ask for your date of birth as part of an application. Providing false information about your age or identity may result in your application being denied or your account being suspended or terminated.
You can create an account with an email and password, or by signing in with Discord. Some features — including anything tied to a department roster, rank, or permission — require linking a Discord account, since that's how the CMS connects your account to your role in the community.
Canada's Finest reviews membership, transfer, reserve, and division applications at its own discretion. Submitting an application does not guarantee acceptance, and stated review timelines are estimates, not commitments. We may request additional information, an interview, or clarify your answers before making a decision. Answers you provide must be true, complete, and accurate to the best of your knowledge.
A Leave of Absence (LOA) request is reviewed and decided at the discretion of the staff holding that approval permission for your department — submitting one does not pause any obligation until it's actually approved. Community events (joint patrols, trainings, and similar) are organized by staff; RSVPing is a courtesy to help staff plan and isn't a binding commitment, but please update your response if your plans change.
Members must follow our community rules, the Member Handbook, and any department-specific policies communicated by staff. Prohibited conduct includes, without limitation:
Violations may result in a warning, suspension, removal from a department or the community, or other action described in the Member Handbook, in addition to the record-keeping described in our Privacy Policy.
Ranks, titles, departments, training, and certifications maintained in the CMS are for community and roleplay purposes only. They do not represent real-world government authority, employment, professional licensure, or law enforcement power of any kind.
If your role grants access to restricted records (for example disciplinary files, application reviews, LOA requests, or another member's personal information), you must keep that information confidential and use it only for legitimate Canada's Finest purposes within the scope of your assigned responsibilities.
The CMS, its design, and its underlying software belong to Canada's Finest. Content you submit (application answers, profile information, and similar) remains yours, but by submitting it you give us permission to use it to operate the Services — for example, to display your roster entry to authorized staff or process your application.
We may suspend or terminate your access to the Services, or remove you from the community, for a violation of these Terms, our community rules, or at our discretion where reasonably necessary to protect the community. Certain records may be retained after your account is closed, as described in our Privacy Policy.
The Services are provided "as is" and "as available," without warranties of any kind. We don't guarantee the Services will be uninterrupted, error-free, or available at all times, and we're not responsible for outages or issues caused by third-party providers (Discord, Supabase, Vercel, or others) outside our control.
To the fullest extent permitted by law, Canada's Finest and its staff are not liable for any indirect, incidental, or consequential damages arising from your use of the Services, or from a decision regarding your application, membership, rank, or standing in the community. Nothing in these Terms limits any liability that cannot be limited under applicable Quebec or Canadian law.
These Terms are governed by the laws of the Province of Quebec and the federal laws of Canada applicable in Quebec, without regard to conflict-of-law principles. Any dispute that can't be resolved informally will be subject to the exclusive jurisdiction of the courts of Quebec.
We may update these Terms from time to time. Material changes will be reflected by an updated "Last updated" date at the top of this page, and continuing to use the Services after changes take effect means you accept the updated Terms.
